We are seeking a detail-oriented and proactive Administrative Assistant to support daily ward operations. This role involves managing communications, coordinating patient appointments, handling administrative tasks, and assisting with billing and reporting to ensure smooth and efficient service delivery.

 

Key Responsibilities

1. Communication & Coordination

  • Manage and respond to emails in a timely and professional manner.
  • Send outbound communications to patients (appointment reminders, follow-ups, updates).
  • Handle phone calls and patient inquiries.
  • Liaise with patients regarding appointments, rescheduling, and reviews.

2. Patient Management

  • Arrange and confirm patient appointments and follow-up visits.
  • Track patient schedules and ensure timely reviews.
  • Maintain accurate and up-to-date patient records.

3. Administrative Support

  • Prepare, organize, and collate reports and documents.
  • Maintain filing systems (digital and/or physical).
  • Assist with general office administrative tasks.

4. Billing & Payments

  • Process payments (cash, card, or digital methods).
  • Assist with basic accounting or payment reconciliation.
  • Prepare monthly billing for payment processing.

5. Operations Support

  • Ensure smooth day-to-day clinic operations.
  • Support doctors and healthcare staff with administrative needs.
  • Monitor and follow up on pending tasks.

 

Requirements

  • Proven experience as an administrative assistant, preferably in a healthcare or clinic setting.
  • Strong written and verbal communication skills.
  • Proficient in email handling, Microsoft Office, SAP (Preferred).
  • Good organisational and multitasking abilities.
  • Comfortable handling sensitive and confidential information.
  • Basic knowledge of billing or payment processing is an advantage.

 

Working Hours

4 days per week: 9am to 9pm.

The working schedule will be based on the roster. Staff may request their preferred rest days, subject to the supervisor's approval.
